Workday Journals & AIS Transactions Year-over-year Package

Report authors can use the Workday Journal and AIS Transactions Year-over-Year data source package to make comparisons over time between AIS and Workday data sets.

  • AIS Transactions: contains department financial transaction data from fiscal year 2009-2021.
  • Workday (Journals): contains beginning balances loaded in FY 2021 and  Journals transaction data from fiscal year 2022 forward.

The query subjects within this package are organized by source – with AIS transactions and identifying data in the Transactions – All Accounts folder and Journal transactions and identifying data in the Journals folder.

The data sets are organized separately.  In order to combine these into a single report, there is additional report design work that is required.  Five building block reports have been provided as a starting point that provide an example of a way to present both data sets on a single report. 

Please Note: There is no crosswalk available for AIS legacy to Workday at the cost center /department level in the data warehouse.

User knowledge of AIS department organization and Workday organization is strongly recommended.

The Year over Year Reports folder contains five example reports which can be used as starting points to build detailed reports to satisfy business requirements.

These are the basic example reports provided:

  • Cost Center Year Over Year Report
    • Allows selection at high level organizational level
    • Presented at the individual cost center/department level by year
    • Cost Center and Department are not combined into a single line
  • Cost Center Year Over Year Revenue & Expense
    • Allows selection at high level organization level
    • Presented at the individual cost center/department level
    • Cost Center and Department are not combined
    • Dollar amounts are separated into Revenue and Expense categories by year
  • School Year Over Year Report
    • Allows selection by school
    • Amounts at related organizational level (i.e., Arts & Sciences and CH00057 – School of Arts & Sciences will appear on the same line)
    • Includes a data graphing example
  • School Year Over Year Reports-Broken Out
    • Allows selection by school
    • Amounts at related organizational level (i.e., Arts & Sciences and CH00057 – School of Arts & Sciences will appear on different lines)
  • School Year Over Year Revenue & Expense
    • Allows selection by school
    • Amounts at related organizational level (i.e., Arts & Sciences and CH00057 – School of Arts & Sciences will appear on the same line)
    • Amounts broken out to Revenue and Expense by year

Each report is designed with a prompt page providing basic organizational and classification filters that can be applied to filter data.  At least one choice must be made from the Organization sections of the prompt page. 

The default prompt choices at the transaction classification level (located below organization on the prompt page) are set to filter both AIS and Journal data for Revenue and Expense transactions.  The filter prompts on these example reports are optional and all choices can be deselected.

Each report also contains an appendix page that records the prompt choices that were made when the report was run.

These reports can be executed and will return amounts.  It should be noted that the reports are at a highly summarized level and do not contain advanced formatting and totaling that exists in the University Financial Reporting reports.  The amount data is presented as it exists in the data warehouse.
