Key Changes to Cognos

In support of WashU’s vision to develop a centralized repository of data through Cognos, this page details the upcoming changes to the tool, as well as what is staying the same.

What’s not Changing?

  • All data previously stored in Cognos will remain
    • You will have the same security and context as before
    • All previously created reports will still exist
  • How to request access
  • “My Content” folders and reports
  • The Cognos URL
  • Shared folders and reports to which you have access
  • Packages, Reports, and Folders not listed on this page

What Is Changing?

Login Process

When you first access the logon page, you must now select “1) WUSTL Key Email” from the dropdown menu.

Instructions for your new username:

  • If your WUSTL Key username matches the first part of your @wustl.edu email address, User Name will be: yourwustlkey@wustl.edu
  • If your WUSTL Key username differs from the first part of your @wustl.edu email address, User Name will be: yourwustlkey@email.wustl.edu

Password is your WUSTL Key password.

New Homepage

The new Cognos landing page will display once you’ve logged in. This new view displays tiles of your most recent reports for quick access.

New Folder Structures

The image below shows a visual representation of the new folder structure in Cognos. Read below for more detail:

New Reports Folder Structure

Financial Reporting Folder (Formerly University Financial Reporting Folder)

  • Legacy Financial Reports Folder: where you will find the standard Financial reports you access today (i.e. Transaction Detail, Budget Summary, Actual Activity)
    • These reports only run off AIS/FIS data. As that source system becomes static, so will the data returned in these reports. Workday data will not be fed into these reports.
  • Year Over Year Reports Folder: Year over year reports combine Workday FIN data with Legacy FIN data. Some basic examples of year over year reports are provided here to act as a starting point for you to author your own year-over-year reports.

HCM Reports Folder (Formerly HR Reports Folder)

  • Legacy HRMS Reports Folder: where you will find the standard HR reports that you access today (i.e. HR: Payroll Distribution Detail by Account, HR: Encumbrance Summary by Account, HR: Personnel Listing)
    • These reports only run off HRMS Data. As that source system becomes static, so will the data returned in these reports. Workday data will not be fed into these reports.

Space Reports Folder

  • Legacy Space Reports Folder: where you will find the standard Space reports & user queries that you access today (i.e. Room Review From, Space Utilization by Dept, Space User Query Folder)
    • These are reports that haven’t been refactored to include Workday data elements like Cost Center.
  • Space Surveyor Reporting Folder:
  • Refactored Reports (other reports in root folder): new versions of Space reports and queries that point to packages that have Workday data included.

New Package Folder Structure

Financial Reporting Packages Folder

  • Legacy Financial Packages Folder: where you will find the AIS/FIS Financial Packages that you access today (i.e. FIN Transactions All Accounts, FIN Open Encumbrances)
    • These packages only run off AIS/FIS Data. As that source system becomes static, so will the data returned in these packages. Workday data will not be fed into them.
    • Same row level security that you have in AIS/FIS source system still applies to data retuned.
  • Legacy Financial DQM Packages Folder: where you will find copies of AIS/FIS Financial Packages that you access today (i.e. FIN Transactions All Accounts, FIN Open Encumbrances) but with new technology added to it that unlocks features in Cognos like multi-package reporting.
    • These packages only run off AIS/FIS Data. As that source system becomes static, so will the data returned in these packages. Workday data will not be fed into them.
    • No row level security applies to data retuned.
    • Requests will need to be made to the Data Management Help Desk for access.
  • Workday Financial Packages Folder: packages developed off the new Workday data that is being brought into the DWH.
    • Journals Package – Shows journals entered into workday with the associated worktags.
    • Requests will need to be made to Data Management for access. See Access Request Instructions

HCM Reporting Packages Folder

  • Legacy HRMS Packages Folder: where you will find the HRMS Packages that you access today (i.e. HR Distribution Detail, Job History with Compensation Query). ‘HR Reporting Packages’ and ‘HR Query Studio Packages’ folders are now located here.
    • These packages only run off HRMS Data. As that source system becomes static, so will the data returned in these packages. Workday data will not be fed into them.
    • Same row level security that you have in HRMS source system still applies to data retuned.
  • Legacy HRMS DQM Packages Folder: where you will find copies of HRMS Packages that you access today (example – HR Distribution Detail, Job History with Compensation Query, etc.) but with new technology added to it that unlocks features in Cognos like multi-package reporting.
    •  These packages only run off HRMS Data. As that source system becomes static, so will the data returned in these packages. Workday data will not be fed into them.
    • No row level security applies to data retuned.
    • Requests will need to be made to Data Management for access. See Access Request Instructions
  • Workday HCM Packages Folder: packages that are developed off the new Workday data that is being brought into the DWH.

Space Packages Folder

  • Legacy Space DQM Packages Folder: where you will find copies of Space Packages that you access today (i.e. Space Survey , Space Reporting) but with new technology added to it that unlocks features in Cognos like multi-package reporting.These are packages that haven’t been changed to include Workday data elements like Cost Center.
  • Legacy Space Packages Folder: where you will find the Space Packages that you access today (i.e. Space Survey , Space Reporting)
    • These are packages that haven’t been changed to include Workday data elements like Cost Center.
  • Updated Space Packages (other packages in root folder): new versions of Space Packages that have Workday data included.
