Notifications & Tips for Expiring Certifications, Payroll Deadlines & Time Tracking Submissions

Updates to RPT6439 – WU – Paid Time Off During Probationary Period 
To support WashU’s updated Time Off Policy (effective September 1, 2022) allowing benefits-eligible workers to access sick time accruals at the date of hire or rehire, RPT6439 excludes sick time off from report results unless the Include Sick Time Off Type box is checked. Departmental HR Partner, Departmental HR Partner Leads, HR Reviewers and Timekeepers can use this report to audit time off submitted during a worker’s probationary period. Refer to the recent communication sent from Human Resources and log into Collibra to review functional area and associated business terms with definitions for RPT6439.

Verifying Active Status for Student Workers
HR Partners and Student HR Partners can run RPT7032 – WU – External Student Details to verify a student worker is actively enrolled in classes. Use the report prompts to search by name. If the student is active, the related actions button can be used to initiate the Hire Student business process directly from the report. Refer to the updated Student Workers in Workday reference guide and log into Collibra to review functional area and associated business terms with definitions for RPT7032.

Payroll Deadlines
See Payroll Deadlines for a complete list of biweekly and monthly deadlines. Log into Collibra to review functional area and associated business terms with definitions for the reports listed below: 

October 2: Time Tracking Mass Submit by 5 p.m.   
Unsuccessfully submitted time will NOT be included in the Mass Submit. Run RPT6360 – WU – Unmatched Time Clock Events report to identify unmatched time blocks prior to Mass Submit deadlines.  

October 3: Time Tracking and Absence Approvals by 11:59 p.m.
Run RPT6357 – WU – Unapproved Time Off Requests to identify workers with pending time off requests prior to time tracking and absence approval deadlines.   

October 5: Payroll Close and Payroll Costing Allocations by 3 p.m.
Run RPT5967 – WU – Audit Missing Costing Allocations by Top Level Departmental Supervisory Org to identify workers that are missing payroll costing allocations.
