Legacy HRMS & AIS Reports

The following instructions are for access to legacy AIS or HRMS Cognos report packages and reports. See details about these reports below.

REPORT DETAILS

LEGACY AIS reports* are located in Cognos within Team Content > Reports > Financial Reporting > Legacy Financial Reports and contain the following pre-packaged reports. Data in these reports is preliminary to the Workday implementation date of 7/1/2021.

  • Actual Activity
  • Actual vs. Budget by Month/Quarter
  • Balance Sheet Account Summary
  • Budget Summary
  • Open Encumbrance Detail
  • Transaction Detail

*Please note that AIS Archive reports including Document Inquiry, AP Vendor, etc. have a different request process. See next section for more information on AIS Archive report access.

LEGACY HRMS reports are located in Cognos within Team Content > Reports > HCM Reports > Legacy HRMS Reports and contain the following pre-packaged reports. Data in these reports is preliminary to the Workday implementation date of 7/1/2021.

  • Personnel Reports
  • Payroll Reports
  • Encumbrance Reports

Request Access to Legacy AIS or HRMS Reports

The ability to retrieve information with these reports requires departmental data access and this is determined by one of the following options:

OPTION 1: You already had AIS/HRMS access in place for your current department within the legacy system and simply need the report access. If this is true, please email data@wustl.edu

OPTION 2: You have never used AIS/HRMS or are onboarding a new user who needs these reports, or need to change the type of departmental data you can report on. In this case, please provide us with the EMPLID and name of an individual on your team who already has the required access in place (referred to on the form as the “Model”) and we can grant security that is equal to that person’s security.  

Example of a Model: My team member XYZ can already run reports against my legacy department code of 00000 so please grant me departmental data security and report access equal to theirs.

AIS Archive Reports

The following instructions are for access to AIS Archive Cognos reports. See details about these reports below.

AIS Archive reports are the new reports that have been designed to mirror the screens we formerly used in the AIS system. These reports replace those screens after the November 2022 AIS system retirement. In this category, you can request access to FIS (Financial) reports, COI reports, or SPA reports, depending on what you used to do in AIS.

AIS Archive reports are located in Cognos within Team Content > Reports > AIS Archive Reports.

  • AIS FIS (Financial) reports – the most commonly needed type – include Document Inquiry (for Check Request, Travel Expense, Invoice, Journal, Purchase Order, etc.) or AP Vendor. If you need to request access to these new FIS AIS reports to do the work you did previously in AIS, please click this link and send the email.
  • AIS COI reports are for those who previously accessed COI inquiries in AIS. If you need to request access to these new COI AIS reports to do the work you did previously in AIS, please complete this form, obtain the appropriate signature(s), and submit to data@wustl.edu.
  • AIS SPA reports are for those who previously accessed SPA inquiries in AIS. If you need to request access to these new SPA AIS reports to do the work you did previously in AIS, please click this link and send the email.
